Have you ever said to yourself?

  • I wish I could find a way to update my catalogue every month or even every day if I wanted to and get this to all my customers quickly and at extremely low cost
  • My catalogue must always contain up to date prices. Prices must be printed on the same page as the picture, the bar code, the description, the ordering code, the specification and other relevant information.
  • If only I could get my catalogue to my customer on demand quickly, cheaply, and in such a way the customer could not lose it. In fact the customer must be able to copy it, print it, share it, and even forward it to another branch or person with no hassle.
  • I would like to make my catalogue available to anyone anywhere in the world at any time by email including all color pictures but in a way it takes a very short time to download. In particular I must make sure it takes a very short time to download. I do not want a web site to do this. I recognize that many customers have slow internet connections and also use dial-up connection methods.
  • I have introduced 30 new products and discontinued 40 old ones and I cannot just print a new catalogue for this. Nor can I rely upon my customer to add deletions and additions to an existing catalogue as much as this is theoretically possible and perhaps not unreasonable to request since I gave the customer the catalogue in the first place in a special file to make this easy (in theory!!!!).
  • It must not take me more than 1 hour to add 20 new products to my catalogue and update all prices. It must take me considerably less to remove 20 products
  • It must not take more than 10 minutes to update just the prices in my catalogue.
  • I will leave my price increases until the new catalogue is produced although I know this will cost me a lot of lost revenue and profit.

Don’t we all know the problems these real practical events create for our company and in particular its customer relationship and sales capability. Now you can overcoem all this ...

For sure your customer will lose interest in your products if she cannot immediately access correct and up to date prices when he looks into your catalogue. To make this worse he will order from the competitor if he can find theirs first.

Normally it takes so long to get a catalogue produced it is bound to be out of date by the time it reaches your customer.

The designer needed your ideas, your words, often your pictures, your prices, your bar codes, your descriptions, your preferred layout and so it goes on.

Finally the designer needed your money and the printer also needed your money. This is before one copy reaches the customer so there are postage and other distribution costs to remember also.

  • And you know what you need to make a whole lot more sales to just pay for the work done. Work that looks great and of which we are very proud no doubt but is pretty useless if we are honest with ourselves or if we view it from our customers’ point of view
  • Don’t you feel a bit annoyed when you get that whopping bill detailing:
  • Studio work
  • Scanning cost
  • First draft layout
  • Second layout
  • Colour proofs
  • Creation of positives
  • Printing and it continues until you get to the bottom line which says
  • Total $ ‘000’s upon delivery of first catalogue
  • Now when you come to do a revised catalogue blow me down if you don’t have to start from scratch again because you cannot change the layout – even though you asked the designer to allow for this in the first design.
  • You discover you need new pictures, revised layout, new words, new proofs, new printing plates and so on and so on. It never stops. This is not surprising and in fact to be expected because all good business have a vital need to innovate and change continuously.

Now think carefully about this.
I am sure we will agree:

1. ANY CUSTOMER NEEDS UP TO DATE FULL PRODUCT INFORMATION WHEN THEY WANT IT AND NOT WHEN YOU WANT TO GIVE IT TO THEM.

2. ALL SUPPLIERS NEED TO GET THEIR INFORMATION IN A PRIORITY POSITION ON THE CUSTOMER’S DESK – BEFORE THE COMPETITOR DOES THIS. CUSTOMERS ARE BUSY PEOPLE WHO HAVE LITTLE INCLINATION TO CONSIDER THE SUPPLIER TOO MUCH. CUSTOMERS BUY FROM SUPPLIERS THEY HAVE EASY AND IMMEDIATE (at the time) ACCESS TO.

Here's my story ......

This is how I came to develop my catalogueuing system after 7 years of knowing I needed it BUT I did not know how to do it.

I started my own gardening products distribution business almost 11 years ago after spending some 25 years as a chemical engineer/manager in the chemical industry – I have no artistic capability worth talking about. My company focused and still does on selling high quality specialized water gardening products internationally.

In this 11 year period I introduced hundreds of very different products to my customer base and over the years have discontinued and replaced many of these products. Communicating all these changes to my customers was a mammoth task as you can imagine. Not all of the products were successes so do not let me for a moment suggest I have a magic touch when it comes to discovering products that make a fortune easily all the time – Oh, if only it was so simple.

Most of the products were imported or exported. As a result price changes occurred continuously because exchange rates happen to behave like this. Packaging also tended to change and this was totally out of my control as a distributor of those imported and branded products.

My company produced using skilled designers very attractive high quality glossy full color catalogues of which I felt very proud. The cost was high in terms of money and time (my time and my cost mainly).

Despite my pride in the finished catalogues I found these exercises highly frustrating and wasteful because I seemed to be required to do most of the donkey work and all of the checking.

After much frustration, and of course this should be obvious to everybody (but strangely isn't) it finally dawned upon me that catalogues MUST be designed for the customer and not the supplier. This means giving the customer updated accurate information including pictures and price at the customer’s convenience. Thus I was left with no choice but to dispense with traditional catalogueuing methods (and thankfully expenses too).

This well known but frequently overlooked “discovery” of what the customer REALLY needed allowed me to set up the following objectives. The customer had to have at least one computer capable of receiving e mail.

These were my objectives, compare them to yours:

Produce a catalogue method that allowed the combination of price, general product information and picture in one place and allowed the update easily of either one or the other without any designer/outside skills and ......

  • Ensure the method allows rapid and accurate addition of new products in full color picture format, deletion of old products, as well as allowing for accurate pricing, specification, pack size information etc updates very quickly and easily no matter how many products were in the catalogue.
  • This must be able to be done without any special skills or dedicated desk top publishing software although basic software in use in almost all offices was necessary as was running Window software.
  • The finished catalogue must be able to be maintained by any average office person with very basic training.
  • Most critically the finished catalogue must be able to be emailed as a very small file size despite possibly having many color pictures in it.
  • Once emailed the catalogue had to be in a format almost anyone with a computer could access and use easily and without hassle and without them incurring any cost.
  • The catalogue once in the hands of the customer must be user friendly and allow products to be found quickly and easily.
  • The catalogue or portions of it could be used as an order form if required.
  • The format of the catalogue should be such that important sales aids, performance tables, POS aids etc could be included.
  • The format should be such as to allow different pricing mechanisms to be included without creating a lot of effort.
  • The format should allow a catalogue to be custom made/personalized in a situation where a customer might want to display the catalogue showing retail prices for example.
  • It must NOT be a requirement that the customer had to access the WEB to access the catalogue – in other words a web site was out of the question.
  • The catalogue should be able to be printed out by the supplier and by the customer on almost any office printer be it ink jet or laser, black and white or color.
  • The customer must be able to share the catalogue with whomever he chose to do so without reference to ourselves.
  • The customer must not be able to change information in the catalogue. This was a very important security consideration.

    Every single one of these objectives were met as I developed my catalogue system now called
